Rutgers University-Newark Canvas Faculty Frequently Asked Questions

  • First navigate to https://canvas.rutgers.edu and click the red NetID login button towards the top right. You will login with your NetID which is generally comprised of initials and a unique number (e.g. abc123). If you were previously associated with Rutgers, you may have a NetID that you selected yourself.

  • Faculty and staff can contact atshelp@newark.rutgers.edu or schedule a meeting with an ATS staff member for assistance. Open office hours are held on Fridays at 10am and workshops can be scheduled for groups of individuals on a variety of topics.

    Students can contact the RU-N IT Service Center for assistance.

  • If your department has identified your NetID in the Scheduling system, you should automatically have access to your course in Canvas. Please reach out to your department administrator or school registrar to have your NetID added in the IN - instructor field and you will be given access to your course the next morning shortly after 8:30am.

    If there are extenuating issues, you can contact atshelp@newark.rutgers.edu with full course information. Verification of assignment by your department may be needed.

  • If you are brand-new to Rutgers, it can take a while before your faculty role takes effect, but you can reach out to your department and ask them to submit an Early NetID Request for you to expedite access to Canvas. OIT will email you with activation information once the request has been processed.

    While there is a Guest NetID process which creates a NetID with a guest role , this option is NOT recommended for employees and should only be used for non-affiliated access to Rutgers systems such as Canvas. Faculty should instead reach out to their department to have them submit an Early NetID Request. If there are extenuating circumstances where an Early NetID or a Guest NetID is not appropriate, there is an alternate login method. This is only to be used as a last resort and provides Canvas-only access.

  • NetIDs are generally comprised of initials and a unique number (e.g. abc123). If you were previously associated with Rutgers, you will re-activate your initial NetID which you may have selected yourself.

    Once your account is processed, you should receive an email from OIT with directions, but you can go to https://netid.rutgers.edu and click on the Service Activation link in the menu on the left. You will be prompted to verify your identity and then proceed to activate your NetID. If you have any trouble activating your NetID, you can reach out to the RU-N IT Service Center for assistance.

  • Your NetID needs to be activated in order to login to Canvas. Activating a NetID requires that you have an active role at the university.

    If you are new and have a current faculty role, you should receive an email from OIT with directions, but you can go to https://netid.rutgers.edu and click on the Service Activation link in the menu on the left. You will be prompted to verify your identity and then proceed to activate your NetID. You will also set up your email during this process.

      • If a NetID has been reserved for you but your faculty role is not active yet, you can reach out to your department and ask them to submit an Early NetID Request for you to expedite access to Canvas.

    If you are returning to Rutgers and previously had a NetID, that original NetID will need to be reactivated. As with new employees, you must have an active role to (re)activate your NetID. You can reach out to your department and ask them to submit an Early NetID Request for you to expedite access to Canvas.

    If you have any trouble verifying your identity or activating your NetID, you can reach out to the RU-N IT Service Center for assistance.

  • Once your account is processed, you should receive an email from OIT with directions, but you can go to https://netid.rutgers.edu and click on the Service Activation link in the menu on the left. If you have any trouble activating your NetID, you can reach out to the RU-N IT Service Center for assistance.

  • Canvas provides an import tool that will allow you to import all or some content from one course into another course such as copy content from last semester into the current semester. 

    First go into the destination course that is the new course or the course that you want to copy content into. From Home, click on the Import Course Content link in the far-right panel. From the Content Type pull-down menu, select Copy a Canvas Course and then select the source course that you want to copy content from.  It is recommended that you use the Select Specific Content option so that you can choose what to copy. For example, you likely will not be copying Announcements and Calendar Events from a previous semester. Another example would be if you are planning to use some but not all of your modules or assignments. Canvas will also allow you to adjust events and due dates as you copy but don’t worry too much about this as you can always do a bulk update of due dates and availability dates later. Click the blue Import button. If you chose All Content, the import will be queued. If you chose Select Specific Content, click the blue Select Content button.  You will be prompted to choose what to import such as Course Settings, Modules, Assignments, Quizzes, Question Banks, Discussion Topics, Pages, Rubrics, Student Groups, and Files. You can click on the right-pointing arrow in a category to drill down and select specific assignments, modules, modules, files, etc. Click the blue Select Content button and the import will be queued.

    You must have instructor access in both the source and destination courses in order to copy content. If you do not have instructor access to the source course, contact atshelp@newark.rutgers.edu with full course information. Permission from the instructor of the source course will need to be provided or verified. 

  • From the People menu are, click the blue + People towards the top right. Select the Login ID option, enter the appropriate NetID(s), from the Role pull-down menu select TA, click Next and then Add Users. NetIDs are generally comprised of initials and a unique number (e.g. abc123). Directions are available online but you can contact atshelp@newark.rutgers.edu or schedule a meeting with an ATS staff member for assistance.

  • Students who are officially registered for a course are updated each morning including weekends. If a student’s registration processed today, they will be added into Canvas tomorrow shortly after 9am. Faculty can confirm enrollment through Rosters & Electronic Grading Information System (REGIS) if they have been given roster access. If you do not have REGIS access, you can confirm with your department administrator or school registrar if appropriate. Students can confirm their registration through WebReg or the Navigate portal or app. Students with issues may want to reach out to their academic advisor directly or through Navigate if there are issues with registration.

    Rutgers-Newark does not allow faculty to add non-registered students to their courses in order to protect the integrity of the roster. However, you may have situations such as a student who is finishing an incomplete and needs to be in an active course or a student who is registered for an independent study but needs access to your course. These students can be added to your course by the RU-N IT Service Center.

    Please submit student and full course information using the Canvas Special Request Form. Approval from your dean or program coordinator is required.

  • In Canvas, there are two settings affecting student access. There is an overall status which requires you to publish your course. Additionally, there are Start and End Dates of your course.  When courses are first created, the Start Date defaults to the first day of the overall major semester which is often the day after MLK or Labor Day. This is not the first day that your class specifically meets and in the case of Law is always a later date.

    At Rutgers-Newark, towards the beginning of the semester, your course start dates will be updated to two weeks before the default date to avoid issues with students not receiving emailed Messages or notifications Announcements (see notes below regarding Messages and Announcements). 

    However, you can always adjust the start and end dates of your course. Many faculty also choose to limit student access before and/or after these dates. Please contact atshelp@newark.rutgers.edu or schedule a meeting with an ATS staff member for assistance.

  • Occasionally there is a section number change that results in a new blank Canvas course being created with all of your students registered. Please contact atshelp@newark.rutgers.edu or schedule a meeting with an ATS staff member to have your content copied over from the original site to your new site.

    If you still have all of your content but all of your students are gone, this may also be a result of a section change. You may only have access to the original sections without your students while they are in the new empty section. Please contact atshelp@newark.rutgers.edu or schedule a meeting with an ATS staff member for assistance. If there has not been any student work submitted, ATS will copy your content and add you to the new site where your students are. If there have been student submissions, ATS will merge the new section into the original site so that your students’ work is preserved.

  • When you activated your NetID, you went through the process of setting up your email as well. By default, you have an email address of NetID@rutgers.edu (e.g. abc123@rutgers.edu) but you were also prompted to create a “personalized email address” such as first.lastname@rutgers.edu. Both of these email addresses are valid. For faculty and staff, email sent to either of these addresses will be delivered to your Connect email which can be accessed at https://connect.rutgers.edu. Faculty and staff are required to use their Connect email for university communication.

    You also have an email address associated with your campus, unit, or department. This address may be referred to as your domain address. For the majority of RU-N faculty and staff, your domain address is NetID@newark.rutgers.edu. There are exceptions for Business, Law (NetID@law.rutgers.edu), Psychology (NetID@psychology.rutgers.edu), and central units. This email address is also valid and email sent to this address can be accessed at https://connect.rutgers.edu.

    This can be confusing as you may have all of the following addresses:

    abc123@rutgers.edu
    abc123@newark.rutgers.edu
    first.lastname@rutgers.edu

    Email sent to any of these addresses will be delivered to your Connect email which can be accessed at https://connect.rutgers.edu. Faculty and staff are required to use their Connect email for university communication. To login to your Connect email, you will use your domain email address which is the one that includes your campus, unit, or department. For example, abc123@newark.rutgers.edu (for most of RU-N), abc123@business.rutgers.edu, abc123@law.rutgers.edu, or abc123@psychology.rutgers.edu.

    You can verify your email addresses by logging in at https://netid.rutgers.edu with your NetID and password and clicking on the Manage Email Addresses link in the menu on the left.

  • Email sent to any of your valid Rutgers addresses will be delivered to your Connect email which can be accessed at https://connect.rutgers.edu. Faculty and staff are required to use their Connect email for university communication. To login to your Connect email, you will use your domain email address (NetID@domain.rutgers.edu) which is the one that includes your campus, unit, or department. For most of RU-N, this will be abc123@newark.rutgers.edu where abc123 is your NetID. There are exceptions for Business (abc123@business.rutgers.edu), Law (abc123@law.rutgers.edu), Psychology (abc123@psychology.rutgers.edu), and central units.

    If you have any trouble with your email, you can reach out to the RU-N IT Service Center for assistance.

    The RU-N IT Service Center can also assist you with setting up your Connect email on your phone or other mobile devices such as iOS or Android.

  • When your account is created in Canvas, it will be set to use your Official Rutgers Email Address which is displayed in your contact information for the university and used for official communication.

    Canvas allows you to add and/or edit different email addresses for your notifications. We strongly recommend that you use NetID@rutgers.edu as your default email address as this will provide consistency and ensure that you have access to third party tools through Canvas such as Zoom. If you don’t already have NetID@rutgers.edu as your default email in Canvas, please follow these instructions to Configure Your Default Email Address.

    Email notifications from Canvas will come from the email address notifications@instructure.com. You can adjust your notification settings overall as well as individually per course. See the Notifications in Canvas link for additional information.

  • Canvas has both a Messages tool and an Announcements tool.

    To send emailed Messages, your course must be published. You can publish your course from your Dashboard in card view or from the panel on the right on your course Home.

    For your students to receive emailed notifications of Announcements, you must publish your course and it must be after the Start Date of your course. You can adjust the start and end dates of your course as well as limit student access before and/or after those dates.

  • In order for students to receive emailed notifications of Announcements, your course must be published and it must be after the Start Date of your course.

    Any announcements posted before the course was published and after the Start Date were not sent out as email notifications. They would only be visible within the course in Canvas. If you want the emailed notification, first make sure the course is published and it is after the Start Date and then repost the announcement.

  • Go into Settings (at the bottom of the course menu), adjust the course Start Date if needed, check off the Restrict students from viewing course before course start date option, and click the blue Update Course Settings button at the bottom right.

  • Go into Settings (at the bottom of the course menu), adjust the course End Date if needed, check off the Restrict students from viewing course after course end date option, and click the blue Update Course Settings button at the bottom right.

  • If your course is part of the First Day™ Inclusive Access Program, your course needs to be identified as such. Please reach out to your department administrator or school registrar to properly code your course in the Rutgers Course Scheduling System.

    The link to First Day within Canvas should be added for you just before classes start but you can  enable it in your course navigation, contact atshelp@newark.rutgers.edu, or schedule a meeting with an ATS staff member for assistance. Please note that if you are merging your courses within Canvas, please let your bookstore manager know.

  • Faculty who have been given “roster access” can view a photos of their students within Canvas through the REGIS Photo Roster tool or by logging in directly to Rosters & Electronic Grading Information System (REGIS)

    If you do not have REGIS or roster access, please reach out to your department administrator or school registrar.

  • At Rutgers we have two methods to combine courses.

    If you have cross-listed courses such as UG and GR courses taught together, courses running under multiple department or you have two sections of the same course that you want to manage together, we recommend using the Canvas tool for Cross-Listing. We do recommend renaming the combined site with both course numbers for clarity. Faculty can cross-list courses themselves or you can contact atshelp@newark.rutgers.edu, or schedule a meeting with an ATS staff member for assistance.

    If you have many sections of the same course such as in the sciences, the Rutgers Crosslist Courses Tool may be easier to use. Faculty can use this themselves or you can contact atshelp@newark.rutgers.edu, or schedule a meeting with an ATS staff member for assistance.

    Please note, if you are using publisher integrations, First Day, or Reading Lists, follow-up may be needed.

  • Rutgers has developed a tool called Mirror Sites that effectively creates a copy of a section. This allows you to provide a lab instructor or TA access to the “mirror” site for their course work while reserving the original section for you.

    This can be combined with the cross-listing functionality. An example in the sciences would be if you had ten lab sections that meet together for a lecture. A set of ten mirrored sections can be first created. Those mirrored sections can then be cross-listed together to create one single site with students from all ten lab sections. The lead/lecture instructor would be the instructor in that one site. The individual sections can then be assigned to the appropriate lab instructor or TA so that they can use their lab section independent of the merged site.

    Mirrored sites will have the students updated the next day, not immediately.

    Faculty can use the Mirror and Cross-Listing tools themselves but we strongly encourage you to contact atshelp@newark.rutgers.edu, or schedule a meeting with an ATS staff member for assistance as there are several steps involved.

  • Faculty teaching undergraduate courses at RU-N are to submit warning grades through RU-N4Success. Graduate faculty interested in using RU-N4Success for warning grades can contact student.success@newark.rutgers.edu.

  • There are two methods to submit final grades both of which require a REGIS role of Grader or higher. If you do not have REGIS or roster access, please reach out to your department administrator or school registrar.

    Faculty can submit grades by logging in directly to Rosters & Electronic Grading Information System (REGIS) Import and export options are available which can be helpful with large classes. REGIS support is provided by the Registrar.

    Rutgers has also developed REGIS GradeSync which will submit final grades through Canvas. A grading scheme must be enabled in order to use this method. You can contact atshelp@newark.rutgers.edu, or schedule a meeting with an ATS staff member for assistance.

  • Currently there is an issue where faculty are unable to do one of the steps listed in these directions, so we ask that that you email atshelp@newark.rutgers.edu with the student’s name and until what date they should have access.
